1. About this policy

Iceberg Media Pty Ltd (ABN 30 617 588 931) provides photography and videography for corporate events, headshots and social content. This policy explains how we collect, use, store and delete personal information, in line with the Privacy Act 1988 (Cth) and the Australian Privacy Principles.

2. What we collect

  • People we photograph: your name and contact details where we need them to deliver your photos, and the photos and video we take of you.

  • Businesses that book us: contact and billing details, so we can arrange the job and invoice you.

  • Our website: our website doesn't collect personal information through forms. Bookings for public headshot sessions are made through our online booking page. Our website host may use basic cookies and visitor statistics to keep the site running. We don't use advertising trackers.

We don't collect sensitive information, such as health, religious or political information.

3. How we collect it

We collect it directly from you: when you book a session (including by scanning a QR code at an event), when you email us, and when we take your photo. Sometimes a business gives us a list of attendees for its own event.

4. How we use it

  • To book you in and deliver the photos and video we were engaged for

  • To contact you about your booking or gallery

  • To invoice clients and meet our legal and tax obligations

We never sell personal information.

5. Public event headshot sessions

At public headshot sessions, such as at shopping centres and venues:

  • We collect only your first name, last name, mobile and email, plus your photos.

  • You must be 18 or over and tick the consent boxes before booking.

  • Your photos are used only to deliver your gallery. They aren't used for marketing or portfolio purposes, and aren't given to the venue or event host unless the booking page says otherwise.

  • Your gallery and booking details are permanently deleted 48 hours after your gallery is sent. We send a reminder about 24 hours before.

6. Who we share it with

  • Our in-house photographers and staff, only as needed to do the job

  • Service providers that help us run the business, such as our booking and gallery platform, email delivery and business software, who handle it only under our instructions and only to provide services to us

  • Our clients, where they booked the shoot and the photos are for them

  • Government or law enforcement, only where the law requires it

7. Security

Photos are delivered through private, unguessable gallery links, and each person sees only their own photos. Access to our systems is limited to our team. Working copies on cameras and computers are deleted once delivery is complete.

8. How long we keep it

We keep personal information only as long as we need it for the purpose it was collected, or as required by law (for example, invoices kept for tax). Public event headshot galleries are deleted 48 hours after they're sent. Encrypted security backups are removed within [FILL: backup window].

9. Data breaches

If a data breach is likely to cause serious harm, we'll notify the people affected and the Office of the Australian Information Commissioner, under the Notifiable Data Breaches scheme.

10. Access, correction and deletion

You can ask to see, correct or delete the personal information we hold about you. Email info@icebergmedia.com.au, and we'll respond within 30 days.
